Terms and Conditions
These Terms and Conditions apply to services Dolce Vita Makers provides, including marriage proposals, luxury picnics, bachelorette celebrations, weddings, event planning, event styling, and other custom celebrations.
By submitting a reservation, making a deposit or other payment, approving a proposal, or otherwise confirming services with Dolce Vita Makers, the client agrees to these Terms and Conditions.
1. Services and Event Planning
1.1 Services.
Dolce Vita Makers provides event planning, styling, coordination, décor, rentals, vendor coordination, and related event services. The exact services included in each reservation depend on the selected package, proposal, invoice, booking confirmation, or separate event agreement.
1.2 Styling and Substitutions.
Photos, portfolio examples, mood boards, proposals, and inspiration images represent the intended style and overall direction of an event but do not guarantee identical décor, florals, furniture, tableware, colors, materials, or accessories.
Inventory, florals, décor, and other items may vary because of availability, seasonality, condition, venue requirements, event size, vendor availability, or operational needs.
Dolce Vita Makers will make reasonable efforts to follow the agreed design direction but may make reasonable substitutions or styling adjustments when necessary to maintain the overall quality, appearance, functionality, or safety of the event.
1.3 Custom Events and Custom Proposals.
Custom events may require additional planning, design, vendor coordination, purchasing, rentals, florals, labor, or other services beyond the initial package or starting price.
For custom proposals or other custom events, an amount collected during the initial booking may represent a deposit or starting amount rather than the final event price. Our team will review the client’s request and confirm the final scope and pricing before adding additional services or charges.
1.4 Accurate Information and Client Cooperation.
The client is responsible for providing accurate event information and responding to reasonable requests for information, selections, approvals, guest counts, venue details, access instructions, and other decisions needed to plan and execute the event.
Dolce Vita Makers is not responsible for delays, changes, additional costs, or inability to provide part of the service resulting from inaccurate, incomplete, or late information provided by the client.
1.5 Right to Refuse, Stop, or Modify Service.
Dolce Vita Makers may refuse, stop, or modify service when reasonably necessary because of unsafe conditions, abusive or threatening behavior, illegal activity, nonpayment, materially inaccurate booking information, inaccessible or unsafe event conditions, or circumstances that could reasonably endanger clients, guests, staff, vendors, or equipment.
2. Payment
2.1 Deposit.
A 50% non-refundable deposit is generally required to secure a reservation unless another payment schedule is stated in the client’s proposal, invoice, booking confirmation, or separate event agreement.
A reservation is not confirmed until Dolce Vita Makers receives the required deposit or payment and confirms the booking.
2.2 Final Payment.
Unless otherwise stated in writing, you must pay the remaining balance in full before the event or before Dolce Vita Makers begins providing on-site services.
Certain weddings, custom events, vendor services, venues, rentals, or large events may require earlier or different payment schedules. If a proposal or event agreement includes a separate payment schedule, that schedule applies.
If Dolce Vita Makers does not receive required payment on time, it may delay purchasing, vendor confirmation, setup, planning work, or event services until payment is received.
2.3 Non-Refundable Payments.
Except where otherwise expressly stated in these Terms or required by law, deposits and payments are non-refundable.
Payments may also include event-specific expenses that become non-refundable or non-transferable once committed, including florals, food, custom décor, personalized items, rentals, permits, venue charges, staffing, labor, photography, entertainment, transportation, and third-party vendor costs.
2.4 Payment Methods.
Available payment methods may include credit or debit card, PayPal, Zelle, or other payment methods approved by Dolce Vita Makers. Applicable processing fees may be disclosed at checkout or on the applicable invoice.
3. Event Information, Location, Access, and Permits
3.1 Location Information.
The client must provide complete and accurate information regarding the event location, including the address, parking restrictions, valet requirements, stairs, elevators, gates, access codes, loading areas, walking distances, venue rules, setup windows, and other conditions that may affect planning, delivery, setup, or pickup.
Parking fees, valet fees, entry fees, access fees, loading charges, and similar event-location expenses are the client’s responsibility unless otherwise included in the confirmed proposal.
3.2 Access.
The client is responsible for ensuring that Dolce Vita Makers and applicable vendors have reasonable access to the event location at the agreed setup, delivery, event, and pickup times.
If access is unavailable or materially different from what was communicated, additional waiting, transportation, parking, labor, or setup charges may apply.
Delays caused by unavailable access or inaccurate access information do not automatically extend the event or service time.
3.3 Permits and Venue Requirements.
Unless Dolce Vita Makers expressly agrees in writing to obtain a permit or handle a venue requirement, the client is responsible for confirming that the selected location permits the planned event, décor, activities, alcohol, music, vendors, equipment, photography, and other services.
Dolce Vita Makers may assist with permits, venue coordination, or location arrangements when requested and available. Additional permit, venue, administration, or planning fees may apply.
4. Weather and Location Conditions
4.1 Outdoor Events.
Outdoor events are subject to changing weather and environmental conditions. Dolce Vita Makers will determine whether conditions are reasonably safe and suitable for setup and service.
Conditions that may require a location change, setup modification, indoor alternative, delay, or rescheduling may include heavy rain, thunderstorms, strong winds, unsafe heat, poor air quality, flooding, high tides, wildfire conditions, government restrictions, venue restrictions, or other safety concerns.
Cloudy skies, cool temperatures, light wind, or other ordinary weather conditions do not automatically qualify for complimentary rescheduling.
Unless Dolce Vita Makers notifies the client otherwise, the event remains scheduled as booked.
4.2 Safety-Related Modifications.
Dolce Vita Makers may secure, remove, replace, relocate, or modify décor, florals, candles, signage, furniture, umbrellas, installations, or other event elements when weather, venue, or safety conditions require it.
Reasonable safety-related changes do not automatically qualify for a refund, credit, or cancellation.
4.3 Client-Requested Weather Changes.
If Dolce Vita Makers determines that conditions are reasonably safe and suitable for the event, the client’s decision to cancel or reschedule because of weather preferences, forecasts, or concerns will be treated as a client-requested cancellation or reschedule under Section 5.
4.4 Location Changes.
If the planned event location becomes unavailable, inaccessible, restricted, unsafe, or otherwise unsuitable for reasons outside Dolce Vita Makers’ reasonable control, Dolce Vita Makers may recommend or use a reasonable alternative location or setup area.
A reasonable location or setup-area change does not automatically cancel the reservation or entitle the client to a refund.
5. Rescheduling, Cancellations, and Refunds
5.1 Complimentary Rescheduling.
Unless a service-specific agreement requires a longer notice period, a reservation may generally be rescheduled once without an additional rescheduling fee when the request is received at least 72 hours before the scheduled event.
The new event date must generally take place within 3 months of the original date and remains subject to availability.
If the new date involves different pricing, location, guest count, vendors, florals, rentals, staffing, services, venue costs, or other expenses, the client is responsible for the difference.
5.2 Rescheduling Within 72 Hours.
Unless otherwise stated in a service-specific agreement, requests to reschedule less than 72 hours before the event are subject to a $150 rescheduling fee.
Any non-recoverable costs already incurred for the original event remain non-refundable and non-transferable.
If additional costs are required to recreate florals, food, décor, staffing, rentals, custom items, vendor services, or other event elements for the new date, those costs will be charged separately.
5.3 Last-Minute Bookings.
Reservations made within 72 hours of the event are considered last-minute bookings and are not eligible for complimentary rescheduling.
5.4 Additional Reschedules.
Only one complimentary reschedule is permitted unless otherwise stated in writing.
Additional reschedules are subject to availability, approval, a $150 rescheduling fee, and any additional event-specific costs resulting from the change.
5.5 Cancellations.
Except where otherwise expressly stated, payments and deposits are non-refundable if the client cancels, changes their mind, is unable to attend, or decides not to proceed with the event.
Cancellation does not eliminate the client’s responsibility for non-recoverable costs already incurred or amounts committed to third-party vendors, venues, photography, florals, food, rentals, custom items, staffing, labor, permits, or other event-specific services.
5.6 Written Requests.
Submit requests involving rescheduling, cancellation, refunds, credits, or other policy-related changes by email or text to create a written record.
A request is not considered approved until Dolce Vita Makers confirms the change in writing.
6. Third-Party Vendors
6.1 Vendor Coordination.
Dolce Vita Makers may recommend, book, arrange, coordinate, or communicate with independent third-party vendors as part of an event.
These vendors may include photographers, videographers, florists, caterers, chefs, musicians, entertainers, rental companies, transportation providers, venues, and other event professionals.
6.2 Vendor Availability and Terms.
Third-party vendors may have their own deposits, minimums, cancellation policies, rescheduling requirements, delivery fees, travel fees, overtime charges, and other terms.
The client is responsible for any non-refundable or non-transferable vendor costs resulting from a cancellation, reschedule, location change, guest-count change, or other client-requested modification.
6.3 Independent Providers.
Independent vendors remain responsible for the professional services they personally provide.
Dolce Vita Makers will make reasonable efforts to coordinate vendor services but cannot guarantee circumstances outside our reasonable control, including a vendor’s emergency, delay, equipment failure, transportation problem, or other unexpected event.
When reasonably possible, Dolce Vita Makers may assist with replacement options or alternative arrangements.
7. Equipment, Décor, and Property
7.1 Dolce Vita Makers Property.
Furniture, décor, tableware, signage, accessories, installations, and other rental items supplied by Dolce Vita Makers remain our property unless specifically sold to the client.
The client is responsible for the reasonable care and protection of rental property from completion of setup until pickup.
Items must not be removed, given to third parties, dismantled, intentionally damaged, or used in a manner likely to cause damage or create a safety hazard.
7.2 Moving or Altering the Setup.
Clients and guests should not move, disassemble, climb on, stand on, attach items to, or materially alter furniture, structures, décor, or installations without approval.
7.3 Candles and Open Flames.
Do not light decorative candles or other flame-producing items unless Dolce Vita Makers expressly confirms that their use is permitted and appropriate for the venue and setup.
7.4 Pickup and Return.
All Dolce Vita Makers rental property must be available for collection at the agreed pickup time.
For private residences, gated locations, venues, or other properties requiring access, the client is responsible for ensuring reasonable access for pickup.
A complaint, refund request, payment dispute, cancellation request, chargeback, or other disagreement does not give the client or any guest the right to retain, conceal, relocate, lock away, or prevent Dolce Vita Makers from retrieving its property.
If access is refused or pickup is unreasonably delayed, the client may be responsible for additional labor, transportation, parking, recovery, replacement, or other documented costs resulting from the delayed or failed recovery.
7.5 Damage, Loss, and Cleaning.
The client may be charged the reasonable cost of cleaning, repairing, replacing, or recovering rental property that is lost, stolen, damaged, excessively stained, excessively soiled, or otherwise returned in a condition beyond normal wear and tear.
Any applicable security deposit does not limit the client’s responsibility for costs exceeding the deposit.
8. Food, Catering, Allergies, and Alcohol
8.1 Food and Catering.
Dolce Vita Makers or independent third-party vendors may provide food, desserts, beverages, catering, and other consumable items.
Availability, ingredients, presentation, portion sizes, and substitutions may vary depending on vendor availability, seasonality, event requirements, and other operational factors.
8.2 Food Allergies and Dietary Requirements.
The client is responsible for notifying Dolce Vita Makers in writing of known allergies, dietary restrictions, or special food requirements before ordering or purchasing food.
Dolce Vita Makers will make reasonable efforts to communicate disclosed dietary requirements to applicable vendors but cannot guarantee an allergen-free environment or that food has not come into contact with common allergens.
The client is responsible for communicating relevant allergy and dietary information to their guests.
8.3 Alcohol.
Unless Dolce Vita Makers expressly agrees otherwise in writing, Dolce Vita Makers does not sell, provide, serve, or supervise the consumption of alcoholic beverages.
The client is responsible for confirming that alcohol is permitted at the event location and for complying with applicable laws, venue rules, permit requirements, and age restrictions.
The client is responsible for guest conduct associated with alcohol consumption.
9. Photography, Documentation, and Marketing
9.1 Event Documentation.
Dolce Vita Makers may photograph or record event setups, décor, equipment, florals, completed installations, and relevant event areas before, during, or after an event.
These photographs and recordings may be retained for quality assurance, proof of service completion, inventory and condition documentation, staff and vendor accountability, insurance purposes, internal training, and investigating or resolving complaints, claims, payment disputes, or chargebacks.
When working at private residences or private venues, Dolce Vita Makers will make reasonable efforts to focus operational documentation on the setup and relevant event area and not intentionally photograph unrelated private areas, personal documents, or sensitive personal information.
9.2 Marketing and Portfolio Use.
Dolce Vita Makers may use photographs and videos of our event setups, décor, florals, styling, food, equipment, and event locations for our portfolio, website, social media, advertising, promotional materials, and other business marketing purposes.
By booking with Dolce Vita Makers and accepting these Terms, the client grants Dolce Vita Makers permission to use photographs and videos from the event that include the client for business marketing purposes unless the client opts out in writing before the event.
9.3 Marketing Opt-Out.
A client who does not want identifying photographs or videos used for public-facing marketing must notify Dolce Vita Makers in writing before the event.
A marketing opt-out does not prevent operational documentation reasonably necessary to prove service, ensure quality, track inventory, document condition, and support insurance, claims, complaints, chargebacks, or dispute resolution.
10. Service-Specific Terms
10.1 Luxury Picnics.
Luxury picnic packages may include low tables, seating, rugs, pillows, tableware, décor, umbrellas, florals, food, and other items specified in the confirmed package.
Picnics begin and end at the scheduled reservation time. Client delays do not automatically extend the reservation.
Outdoor picnic setups remain subject to the weather, location, equipment, and public-space provisions of these Terms.
10.2 Marriage Proposals.
Marriage proposals are highly time-sensitive events. The client is responsible for following the confirmed arrival time, communication plan, location instructions, and proposal timeline.
Delays may affect photography, videography, florals, vendor schedules, venue availability, sunset timing, setup timing, or other parts of the experience and do not automatically extend reserved vendor time.
Custom proposal elements, including florals, signage, décor, photography, videography, venues, musicians, transportation, or specialty vendors, may become non-refundable and non-transferable once ordered or confirmed.
10.3 Weddings.
Wedding services require a separate proposal or event agreement specifying the scope of planning, coordination, décor, vendors, timeline, payment schedule, cancellation terms, and other wedding-specific requirements.
The wedding-specific agreement controls where it contains terms that are more specific than these general Terms.
If the wedding agreement does not address a particular issue, these general Terms remain applicable.
Because weddings involve significant advance planning and third-party commitments, wedding cancellations and rescheduling are subject to the notice requirements and payment obligations stated in the applicable wedding agreement.
10.4 Bachelorette Parties and Planned Celebrations.
Bachelorette and other planned celebrations may involve venues, reservations, transportation, décor, food, entertainment, rentals, and third-party vendors.
Once you commit to reservations, vendors, tickets, custom décor, food, transportation, or other event-specific expenses, those costs may become non-refundable and non-transferable.
If a bachelorette or planned celebration has a service-specific proposal or agreement containing different cancellation or rescheduling requirements, the more specific agreement applies.
11. Liability and Force Majeure
11.1 Event and Location Risks.
The client acknowledges that events, public locations, private venues, rentals, décor, food service, vendors, transportation, alcohol, and event activities may involve ordinary risks.
Clients and guests are responsible for using reasonable care, complying with applicable rules, and following reasonable safety instructions provided by Dolce Vita Makers, venue staff, vendors, property owners, security personnel, lifeguards, or other authorities.
11.2 Client and Guest Responsibility.
Dolce Vita Makers is not responsible for injury, loss, damage, fines, penalties, or other consequences resulting from the client’s or guests’ conduct, misuse of equipment, failure to follow reasonable safety instructions, client-provided items, alcohol brought by the client or guests, inaccurate information, or violations of applicable venue or location rules.
11.3 Personal Property.
Clients and guests are responsible for their personal belongings. Dolce Vita Makers is not responsible for personal property that is lost, stolen, damaged, misplaced, or left behind except to the extent responsibility cannot legally be excluded.
11.4 Limitation of Liability.
To the fullest extent permitted by law, Dolce Vita Makers is not responsible for indirect, incidental, consequential, or special losses arising from an event, cancellation, vendor issue, location issue, delay, weather condition, or interruption of service.
Nothing in these Terms excludes or limits liability where liability cannot legally be excluded or limited.
11.5 Indemnification.
To the fullest extent permitted by law, the client agrees to indemnify and hold Dolce Vita Makers harmless from third-party claims, damages, losses, fines, costs, or liabilities arising from the client’s or guests’ conduct, the client’s breach of these Terms, damage caused by the client or guests, illegal or unauthorized activity, failure to obtain permissions for which the client is responsible, or misuse of Dolce Vita Makers equipment or services.
This provision does not apply to the extent a claim results from conduct for which Dolce Vita Makers cannot lawfully disclaim responsibility.
11.6 Force Majeure.
Dolce Vita Makers is not responsible for delay, interruption, modification, or inability to perform services caused by circumstances beyond our reasonable control.
These circumstances may include severe weather, natural disasters, wildfires, earthquakes, flooding, government restrictions, emergency orders, public safety incidents, road or venue closures, utility failures, labor disruptions, civil disturbances, vendor emergencies, transportation interruptions, or other events we could not reasonably prevent.
When such circumstances prevent an event from proceeding as planned, Dolce Vita Makers may modify the service, change the location, reschedule the event, substitute reasonably comparable services or vendors where appropriate, or offer credit when reasonably possible and subject to availability.
A force majeure event does not automatically entitle the client to a cash refund. Non-recoverable costs already incurred or committed for venues, vendors, florals, food, staffing, rentals, permits, custom items, transportation, or other event-specific expenses remain non-refundable and non-transferable unless otherwise agreed in writing or required by law.
12. Agreement and Service-Specific Terms
12.1 Acceptance.
By submitting a reservation, making a deposit or other payment, approving a proposal, or otherwise confirming a booking with Dolce Vita Makers, the client acknowledges that they have read, understood, and agree to these Terms and Conditions.
12.2 Responsibility for Guests.
The person making the reservation is responsible for communicating relevant event rules, safety requirements, and restrictions to their guests when appropriate.
12.3 Booking for Another Person or Organization.
If a reservation is made on behalf of another person, company, or organization, the person making the reservation confirms that they are authorized to make the booking and agree to applicable terms on behalf of the responsible booking party.
12.4 Service-Specific Agreements.
Certain events may include additional or more specific terms contained in a proposal, invoice, wedding agreement, vendor agreement, booking confirmation, or service-specific booking agreement.
Those terms form part of the client’s agreement with Dolce Vita Makers.
If a service-specific provision conflicts with a general provision in these Terms, the more specific provision applies to that particular event or service. All other provisions of these Terms remain in effect.
12.5 Electronic Acceptance.
Electronic acceptance through an online booking form, checkbox, payment page, email, text confirmation, proposal approval, or other electronic method has the same effect as written acceptance.
13. Updates to These Terms
13.1 Updates.
Dolce Vita Makers may revise these Terms and Conditions from time to time to reflect changes in services, policies, pricing, operational practices, or legal requirements.
Unless otherwise required by law or expressly agreed in writing, revised Terms apply to reservations made on or after the effective date of the updated Terms.
13.2 Existing Reservations.
Existing reservations generally remain subject to the version of the Terms in effect when the booking was confirmed, together with any later changes specifically agreed to in writing by Dolce Vita Makers and the client.
